The end of a WEF session is not an airport departure plan. If your last commitment is too close to the flight, consider leaving the meeting earlier or changing the flight rather than assuming the driver can recover the difference on the road.
Collect people and luggage in the right order
A traveller may finish at a venue while their suitcase remains at a hotel. Write those as two stops and state who retrieves the bag. If several delegates stayed at different properties, nominate a meeting point or request a quotation for the full collection sequence. The hotel you used on arrival is not automatically the correct return pickup: confirm the property, entrance and contact person again before departure.
Explain how flexible the final meeting is
If a session may overrun, give dispatch an earliest and latest possible collection time and ask what waiting can be arranged. A flexible meeting finish does not automatically make the vehicle available indefinitely. Agree who can authorise a change and how it will be communicated. The lead passenger should keep their phone reachable, especially when assistants coordinate the journey remotely and may not know that a delegate has moved to another venue.
Review the return quote separately
Check the return date, local pickup time, stops and vehicle against the written offer, even when both directions were requested together. For this service, return pickups from 00:00 to 05:59 Europe/Zurich add 20% to the return fare only. The supplement ends at 06:00. Ask for the final return amount in writing; do not apply the percentage to the entire round trip or infer a base fare from another destination's price.
